Zinc seeks a Junior Operations Manager to join our expanding Operations Department and provide support to Operations Staff working across a range of international development projects in Eastern and Central Europe, Central Asia, the Horn of Africa and West Africa. The position will be Warsaw based and may involve occasional international travel.

What’s the role…

The candidate will be required to manage and coordinate project grants, logistics, procurement, staff resourcing, contracting, budgeting, and financial reporting. This role requires a level of autonomy and would benefit from someone with knows how to manage multiple competing priorities at once in a busy working environment.

The Junior Operations Manager will be based in Warsaw, Poland.

What you’ll be doing…

  • Coordinate subgrant processes alongside project teams.
  • Management of subgrants in line with various client requirements.
  • Coordinate and manage travel requirements for project staff.
  • Collate and coordinate monthly timesheets for project staff.
  • Provide in-situ operations support and management to the Zinc Warsaw office.
  • Schedule staff and other resource requirements, forecasting to meet project requirements.
  • Track project deliverables against agreed workplans to ensure timely delivery.
  • Draft project financial reports, in line with client requirements.
  • Raise Purchase Orders, process invoices, ensure project compliance with procurement process and track spending to keep it in line with project budgets.
  • Coordinate events including planning, logistics and venue booking.
  • Assist project teams with operational matters where required.
  • Support the Senior Operations Manager across breadth of their projects.
  • Support the wider Operations team on an ad-hoc basis.

Team positioning

Work within the Operations and Production Management Department.

Report into a Senior Operations Manager.


We are looking for the following requirements in potential candidates:

  • Experience of managing subgrants and subcontracts.
  • Experience managing or coordinating operations.
  • You will have solid people management, communication and resourcing skills.
  • Great organisational skills essential to be able to manage the operations processes to ensure deadlines are met.
  • Experience of travel coordination.
  • Ability to work effectively both independently and as part of a team.
  • Resourcing and drafting contract agreement experience is desirable.
  • Competence in using Microsoft Office applications.
  • Working knowledge of archive and research rights is desirable.
  • It is important that any potential candidate is comfortable working within a fast-paced and ever-changing environment and thrives on daily challenges.
